Accounts multi-tenancy enables an organisation to define custom signing policies for their external users (i.e. clients, partners, contractors, etc.). The external users are those document recipients who are not a part of your enterprise, they may be a part of other enterprise or individual or guest users and are required to sign your enterprise documents within a tightly integrated app environment. This feature is usually demanded by the banks and financial institutions, who appreciate high trust digital signing with tailor-made configurations to ensure a consistent signatures style (appearance, details, etc.) for all their members.

In other words, if an Enterprise A requires their documents to be signed by the users of Enterprise B or guest users within an integrated app environment (i.e. Salesforce, SharePoint, MS Dynamics CRM, etc.), then they can assign a default or specific user role to these (external) users, to implement their (Enterprise A) signing policy on such users. In this way, when these external users (i.e. Enterprise B users/ guests) attempt to sign the Enterprise A documents, SigningHub will supersede their signing settings (i.e. Enterprise B or personal) with the ones as laid out in the user roles assigned to them by Enterprise A.

Moreover, to ensure privacy measures, the shared documents of Enterprise A can also be hidden from the external users. When configured, the external users will not be able to see the documents shared by Enterprise A in their personal documents listing. They can view and sign these shared documents only by following the respective tight-integration links, as communicated by their document owners.

Prerequisites 

These are the prerequisites to be able to experience the multi-tenancy feature in SigningHub:

  • SigningHub enterprise account with a default user role that includes the required signing settings for external user(s);
  • Configuration of an integrated app instance (i.e. Salesforce, SharePoint, MS Dynamics CRM, etc.) and assigning the default user role to it;
  • Documents sharing through the tightly integrated app with external users;
  • External users should sign the documents within the same tightly integrated app

For multi-tenancy, you need to:

  1. Create a default user role for external users
  2. Integrate a third-party app with your SigningHub enterprise account
  3. Share documents with external user(s)
  4. Signing activity by external user
